Coordinating A Large-Scale Office Relocation

Your office relocation process is the equivalent of a task force that coordinates a variety of individuals. This includes office movers, designers, realtors, human resources, facility managers, and finance. It can be a large undertaking that can slow down your business or cost money if it is not coordinated properly. Fortunately, there are ways to make this process easier.

Consult with All Departments

In addition to obvious members of your task force, it never hurts to consult with other departments since they will often be involved in the moving process. At the very least, you should talk to every department to determine if they have any unique needs to be met through the process of moving your office.

Assist Your Employees

During the office move, your employees will likely be placed under a lot of stress. It's important to provide employees with support so they can continue to perform their jobs effectively.

Take into consideration the type of employees you have working for your business. For example, employees who have children will have different responsibilities than employees who are older or who have recently graduated from college.

Provide your staff members with opportunities to ask questions, and raise concerns so that you can make the necessary accommodations. Whoever is responsible for managing the move should come into the office during the day to communicate with employees.

Make sure to schedule regular staff meetings and send email so employees can refer back to an email to remember important points. For example, it may be easy to forget important details such as an address. Provide a detailed guide on everything that a particular employee is expected to do on the moving day. 

Clarify Your Goals

Make sure that it's clear to employees exactly what you want to accomplish throughout the move. For example, if the goal of the move is to lower costs or to improve customer service, employees will better understand why the move is important and will be more motivated to do everything necessary to make it a success.

Also, having goals in mind will help employees prioritize what is important. For example, if you don't want a disruption in customer service responsibilities, make this clear.

Look for Outside Help

When your move is well coordinated, you'll avoid making mistakes that could waste time and money. Given how expensive a mistake can be during a move, it may be worthwhile to hire office moving services that can remove some of the burden of relocating your office.
